Luma is committed to safeguarding and promoting the welfare of children and young people in all households we support.

This policy outlines how Luma: 

  • recognises safeguarding concerns
  • responds appropriately to disclosures or risks
  • sets clear boundaries around confidentiality
  • fulfils its professional responsibilities 

This policy applies to all work undertaken by Luma, regardless of location. 

2. Scope

Luma is a consultancy providing advisory, coordination, and training support to private households, families, and household staff. Luma: 

  • does not provide direct childcare
  • does not supervise children
  • does not replace parents, employers, or statutory safeguarding bodies 

However, through our work, we may become aware of safeguarding concerns. This policy governs how those concerns are handled.

3. Definition of Safeguarding

Safeguarding refers to: 

  • protecting children from abuse, neglect, and exploitation
  • preventing harm to a child’s health or development
  • ensuring children grow up in safe and supportive environments

Safeguarding includes physical, emotional, sexual abuse, neglect, and exposure to unsafe or harmful situations. 

4. Safeguarding Principles

Luma operates in line with safeguarding principles recognised under UK best practice, including: 

  • the welfare of the child is paramount
  • safeguarding is everyone’s responsibility
  • early identification and proportionate response reduce risk

The Safeguarding Lead is responsible for: 

  • overseeing safeguarding concerns 
  • determining appropriate escalation
  • maintaining records of safeguarding incidents
  • liaising with parents, employers, or professionals as required
  • seeking external advice when necessary 

6. Confidentiality and Its Limits

Luma treats all communications with families and household staff as confidential. 

However, confidentiality cannot be maintained if: 

  • a child is at risk of harm 
  • abuse or neglect is disclosed or suspected 
  • there is a serious concern about safety or wellbeing

In such cases, Luma may: 

  • raise concerns with parents or employers 
  • seek professional safeguarding advice
  • contact relevant local authorities or services if risk is immediate or serious  

These limits are communicated clearly to staff and families at the outset of engagement.

7. Communication with Household Staff (Including WhatsApp)

Luma may provide: 

  • 1:1 advisory support to staff
  • group communication channels for guidance and updates

These channels are intended for: 

  • professional guidance 
  • emotional support 
  • problem-solving and reflection  

Staff may express stress, frustration, or concerns about their role. This is acceptable. 

However: 

  • disclosures relating to harm, neglect, unsafe practice, or abuse cannot remain confidential 
  • Luma does not provide anonymous counselling 
  • safeguarding concerns will be escalated appropriately

All staff are informed of these boundaries when support begins.

8. Recognising Safeguarding Concerns

Safeguarding concerns may arise through: 

  • direct disclosure 
  • observations shared by staff 
  • repeated patterns of concern 
  • signs of emotional distress, neglect, or unsafe environments

Luma does not investigate concerns but responds proportionately and responsibly. 

9. Responding to a Safeguarding Concern

If a concern arises, Luma will: 

  1. Listen calmly and take concerns seriously 
  2. Avoid making promises of confidentiality
  3. Record the concern factually and promptly
  4. Assess the level of risk
  5. Decide on appropriate escalation

Where possible and appropriate, concerns will be discussed with parents or employers first.  If a child is at immediate risk, Luma may contact relevant local safeguarding services or emergency authorities.

Safeguarding concerns are: 

  • recorded securely following GDPR compliance 
  • stored separately from general client notes 
  • accessed only by the Safeguarding Lead

Records are factual, dated, and objective. 

11. Training and Awareness

Safeguarding awareness is embedded across Luma’s work, including: 

  • household training
  • staff guidance 
  • professional coordination

Luma does not provide statutory safeguarding training but ensures safeguarding principles inform all advisory work. The Safeguarding Lead undertakes appropriate, regular safeguarding training and professional development.

  • tutors 
  • therapists 
  • other professionals

Luma will: 

  • raise concerns with parents or employers 
  • advise on appropriate next steps

  • how information may be shared appropriately 

This policy applies to all Luma engagements, regardless of location.

This policy applies to: 

  • families and parents 
  • household staff (including, but not limited to, nannies, tutors, PAs, drivers, chefs, security, and educators) 
  • recruiters and agencies 
  • external professionals (therapists, schools, consultants) 
  • all communication channels, including WhatsApp, email, video calls, and written documentation

3. How We Define Confidential Information

Confidential information includes, but is not limited to: 

  • personal details about the child or family 
  • developmental, behavioural, educational, or emotional information

  • internal household communications shared with Luma

Luma operates as a trusted coordinating and advisory partner. 

We:

  • do not engage in gossip, triangulation, or informal disclosure

Confidentiality underpins our ability to stabilise households and support long-term success. 

5. Confidentiality with Household Staff

Luma may provide: 

  • 1:1 advisory support to staff members 
  • group communication channels for guidance and updates

Staff may use these spaces to: 

  • reflect on challenges 
  • express stress or uncertainty 
  • seek guidance or reassurance

These conversations are treated as confidential within professional limits.

However, staff are informed that: 

  • Luma is not a confidential counselling service 
  • information that affects a child’s wellbeing, safety, or household stability may need to be shared appropriately 
  • venting or emotional expression is acceptable; safeguarding concerns cannot remain private 

6. Confidentiality with Parents and Families

Information shared by parents is treated as confidential and used only for the purpose of supporting the child and household.

Luma does not: 

  • share family information with staff unnecessarily 
  • disclose private family matters without justification 
  • use family information for marketing or case studies without explicit consent 

Information is shared only when it supports alignment, safety, or effective implementation. 

7. Information Sharing and Alignment

Luma’s role often requires selective information sharing to support consistency and reduce risk. 

Information may be shared: 

  • between parents and key staff 
  • with external professionals (e.g. tutors, therapists, schools) 
  • with recruiters or agencies (where agreed) 

Sharing is:

Wherever possible, Luma seeks explicit consent before sharing information with external professionals, agencies, or third parties.

WhatsApp and similar platforms may be used for:

  • timely support and practical guidance 

While convenient, these channels are treated as professional communication spaces. 

Luma: 

  • avoids informal or careless messaging 
  • documents significant concerns appropriately 
  • maintains professional tone and boundaries 

Clients are advised that no platform can be guaranteed to be entirely risk-free, and communication is kept proportionate accordingly. 

11. Boundaries and Professional Conduct

Luma does not: 

  • take sides in internal household conflicts 
  • act as a messenger for grievances 
  • share one person’s private views without clear purpose 
  • provide anonymous reporting  

Our role is to: 

  • stabilise, not inflame 
  • clarify, not complicate 
  • support alignment, not division 

12. Breaches of Confidentiality

Any breach of confidentiality is taken seriously.

If a breach occurs, Luma will:
